A sample should answer the expensive questions before production. Does the exact machine cover the intended space? Does the oil atomize consistently? Can staff refill and program it? Does the finish match the brand? Will the plug, packaging and documents suit the destination?
Ordering one unit without a written test plan often produces only a desk impression. Order the same version you expect to buy in bulk and decide how it will be tested before it ships.
Freeze the sample configuration
Record the configuration on the proforma invoice or sample confirmation.
- Model and supplier model code
- Housing color and finish
- Plug, input voltage, adapter and power version
- Battery or non-battery version
- Screen or non-screen version where applicable
- Bluetooth, Wi-Fi, buttons or other control method
- Oil bottle capacity
- Included hose, mount, bracket, bottle, adapter and other accessories
- Logo sample status
- Packaging status
- Fragrance and sample quantity
- Destination address and shipping method
A sample of one version does not approve every version under the same model name. Keep photos of the rating label, controls, accessories and packaging.
Check the space before the machine arrives
Measure the area and ceiling height, then calculate room volume. Note open doors, connected rooms, fresh-air supply, HVAC operation and customer traffic. Record the intended placement and power outlet.
Use the same conditions during the test. A machine that performs in a closed empty shop on Sunday may behave differently during trading hours.
If the project connects to HVAC, collect the duct layout, airflow direction, zones and operating schedule. The room test of a standalone sample cannot approve a duct installation on its own.
Inspect the package and product on arrival
Photograph the unopened shipping carton, labels, seals and any dents. Open the package carefully and keep every insert until the review is complete.
Check the machine against the confirmed configuration. Look at panel gaps, finish, scratches, printed markings, bottle fit and accessory count. Confirm that the plug and voltage information match the destination. If retail presentation matters, inspect the box under ordinary shop lighting rather than only in a warehouse.
Record any damage before powering the unit.
Run a functional test
Follow the manual for filling and start-up. Begin at a conservative setting.
Confirm that controls, schedule and app functions match the purchased version. Test power recovery if the instructions permit it. Listen from the normal user position, not with your ear next to the machine.
Check output at several points in the room after a reasonable operating period. Note door and HVAC conditions. Increase one setting at a time. The goal is to find a stable operating range, not to run the machine at maximum output for a few minutes.
Evaluate fragrance oil separately
Run a suitable supplier fragrance first if one is available, then test your own formula under an agreed compatibility plan. Keep the bottles and records separate.
For your own oil, collect the SDS, product specification and batch details. Watch start-up, repeated output, residue, leakage, sound and the condition of the oil path. A candle or reed-diffuser formula may need adjustment before atomization.
Do not approve a production order from scent preference alone. The mechanical result and document set matter too.
Test service work
Have the person who will maintain the unit perform a supervised refill and schedule change. Check whether the bottle, cover and controls are easy to reach in the planned location.
Ask for the approved cleaning method, long-shutdown procedure and support route. Record how long routine handling takes. A machine that scents well but is awkward to refill may create a problem across several stores or hotel floors.
Review logo and packaging as separate samples
A plain engineering sample proves machine basics. It does not approve branding.
If the order includes a logo, define the process, size, colors, position and durability check. Keep a dated photo or physical approved sample. If the order includes a sleeve or printed box, approve the dieline, text, barcode, color proof, insert and master-carton plan separately.
For current LUMEN NARRATE orders, 1–49 units use the small-batch external transfer or label route, while 50+ units can request the factory custom-logo service. Packaging remains separate in both cases.
Check documents against the exact version
Request the documents needed for the destination and shipment. A report for a different model, wireless module, battery or adapter may not support the sample you received.
Compare at least the manufacturer or applicant, product name, model number, electrical rating and date. Ask a qualified compliance provider which reports and labels apply to the destination. Fragrance oil and batteries may need different shipping documents from the machine.
Write acceptance criteria before the decision
Avoid a final note that only says good sample. Use pass, change or unresolved for each item.
| Area | Example decision evidence |
|---|---|
| Configuration | Photos and invoice match |
| Space performance | Settings and observations recorded under normal conditions |
| Oil compatibility | Agreed test completed with the intended formula |
| Noise | Assessed from normal user positions |
| Service | Staff completed refill and schedule change |
| Logo | Position, color and durability sample approved |
| Packaging | Text, barcode, fit and transit protection reviewed |
| Documents | Exact model and version checked by the responsible party |
| Open issues | Owner and due date recorded |
Frequently asked questions
Can I buy one scent machine sample?
Sample availability, price and shipping depend on the model and destination. Confirm the exact version and address before payment.
Should the sample have my logo?
A plain unit can test function faster. Order a branded sample when logo position, color or durability is part of the production decision. Treat the logo sample as a separate approval.
How long should I test it?
There is no universal duration. The test should cover normal operating schedules, refilling, placement and the intended oil. A short demonstration may miss residue or service issues.
Can one sample approve a large HVAC project?
It can verify some machine and oil functions. The HVAC connection, airflow, zoning and commissioning still need project review.
What evidence should I keep?
Keep the invoice, configuration sheet, photos, videos, settings, oil batch, document copies, issue list and signed branding or packaging approval.
Plan a useful sample
Send your intended space, model, version, oil, branding needs and destination to WhatsApp. We can turn them into a sample configuration and an open-item list before shipment.
This checklist uses the current LUMEN NARRATE inquiry, sample and support fields. It does not claim a fixed sample price, delivery time or document package because those items depend on the selected configuration and destination.
