Start with the space you need to serve

A purchasing manager may be sourcing one reception unit, replacing an existing hotel system or preparing machines for a private-label range. These are different briefs. Agree who will use the machine, where it will run and who will maintain it before choosing the housing or bottle capacity.

Compare the six current models

These coverage figures describe air volume in cubic metres, not floor area in square metres. Ceiling height, doors, ventilation and the fragrance setting affect the result. Tank capacity determines how much oil fits in the machine; it does not establish daily consumption or a refill interval.

Noise values and their measurement conditions are not listed in the current quotation. Ask for the selected version's test result, operating mode and measurement distance when sound is a purchase condition. Match installation to the actual premises

TW-CP01 and TW-RA01 use flat or desktop placement. TW-HP01 is a direct wall-socket option, so socket position and destination plug need checking. TW-SI02, TW-MI01 and TW-LI01 list flat, external-connection and wall-mounted installation options. Confirm mounting accessories and the service position in the quotation.

An external connection does not establish a complete HVAC kit. Send the air-handler details, zone drawing, proposed injection point and service access for a separate review. A commercial aroma diffuser wholesale order should specify the accessory set for every unit rather than assume all locations use the same installation.

Plan oil, schedules and maintenance with the machine

These waterless machines atomize compatible fragrance oil; they are not water humidifiers. Standard fragrance oils and refills can be discussed as supporting consumables. Test output during occupied hours and record the agreed setting. Include refill access, cleaning instructions and responsibility for consumables in the handover. Bluetooth describes a connection method; weekday scheduling, multiple-zone control and remote fleet management require confirmation on the actual controller and software version.

What a supplier quotation should settle

Ask for a written configuration covering the machine version, power supply, plug, accessories, oil scope, branding, packing, documentation and shipping responsibilities.

Small-batch branding for 1–49 units uses an approved external transfer or durable label on a standard-color machine. From 50 units, factory logo service can be reviewed. Printed packaging, non-standard finishes and OEM changes have separate requirements. Confirm the purchase quantity and available configuration before treating either route as an order commitment.

For a first purchase, list the sample configuration and the intended bulk configuration separately. Identify what the sample must demonstrate, who will approve it and which accessories travel with it. Samples are paid initially; the sample fee can be credited toward a subsequent order, with the credit confirmed in the order quotation. Ask for freight as a separate line so the delivery scope is clear when comparing quotations. Keep the approved model, artwork and packing reference with the order record for future replenishment.
